August 14, 2013 Meeting Minutes

Meeting called to order at 7:03PM by VP Corinna

Corinna asked Barb to give us feedback on Carousel Day. Barb had called many of the volunteers to ask for their suggestions.  Following are some of the comments and suggestions:

We did not distribute all of the programs that we had printed.  We may have to come up with a way to hand them out to people as they enter the gates.

Some people thought we were charging for the programs.

Many thought the food from the vendors was expensive, especially for a family.

We could welcome attendees with information and ads over the mike.

The Visions crossing area on Pavilion Drive should be more visible as a crosswalk.

Save­a­lot said they will provide volunteers next year.

Lester Ave to Pavilion Drive­cars were getting backed up on Lester Ave.

We need recycling containers next to each garbage can.

Make it clear in our promotion that not everything is free, even though admission is free.

Consider blocking off the walkway entrance at the pavilion so that people will have to enter someplace else.  We might want to limit the number of entrances to control the flow of traffic.

Julie reported that she sent thank you letters to the sponsors with a certificate of appreciation. She also sent a letter to the editor which appeared in the Press and Sun Bulletin Aug. 7

The Vendor prizes were as follows:

Art/Craft: 1st Glenda Blake
  2nd Jones Bowls
  3rd David Geer

Julie read all the winners names for the baskets and raffle prizes. She thanked Donna for putting together all of the baskets.  They were very attractive and we received many positive comments.

Meeting Minutes: Minutes of the July 10, 2013 meeting were read.  Donna made a motion to accept the minutes with one correction, seconded by Jim. Approved unanimously.

Treasury Report: (submitted by Julie)

Park Fund (Savings) $1915.05

Operating Fund (Checking) $1602.31

A detailed report showing income and expenses in 7 categories was distributed to those attending the meeting.. Barb made a motion to hold over a vote on the Treasury reports for July and August, until next month. Seconded by Corinna, approved unanimously.

Julie distributed the 2013 Carousel Day budget, reviewed it and answered questions.  Julie asked if JC Partners should be contributing 10% of our fundraising profits to the Park Fund.  It was stated that to fulfill our mission, we need to get money  in our general fund. Those attending the meeting did not think we need to contribute 10%, since we are sponsoring the event.

The next Cruze­In is tomorrow night, 8/15 at 5PM.  We are going to take control of the raffle tickets, rather than give them to the merchants.  If someone buys something at a store and shows us the receipt, they will get a raffle ticket. When they buy water or soda from us, they will get a raffle ticket. The Turkish Restaurant will continue to give out raffle tickets because they do not give receipts. People must be 18 years old to participate in the raffle.

We discussed volunteer help for the Cruze­In.

The next Johnson City Partners meeting is Sept 11, 2013 at 7PM at Village
